MDA Insurance & Financial Group Executive Assistant
Position Description
The MDA Insurance & Financial Group Executive Assistant provides high-level administrative support to the President, Board of Directors, and its Committees. This position also supports the MDA IFG Executive Team, Radiography Program technical requests, marketing activities, and other departments to ensure smooth operations and professional representation of IFG at all levels.

Essential Job Functions*
Board and Committee Support (Priority #1)
- Provides full administrative oversight for the IFG Board of Directors and its Committees.
- Prepares meeting notices, agendas, materials, and confidential reports.
- Records, transcribes, and distributes accurate minutes for all board/committee meetings.
- Schedules, administers, and supports in-person and virtual meetings.
- Masters and manages boardroom technology to ensure seamless virtual participation.
- Updates and maintains the IFG Administrative Manual, including resolutions and policies.
- Coordinates catering and meeting refreshments, meeting room reservations, and logistics for all board and committee sessions.
- Produces and distributes confidential documents such as the MDA IFG Business Plan, Shareholder Report, and quarterly business activity summaries.
Radiography Program Technical and Administrative Support (Priority #2)
- Acts as the primary administrative liaison for the Radiography Program.
- Responds to users’ technical requests and coordinates with participants, dentists, and participating stakeholders.
- Prepares financial reports and assists with logistics for the program.
Departmental Executive Support – IFG Departments (Priority #3)
- Supports interdepartmental projects and assists executives as needed.
- May assist with marketing-related tasks as assigned from time to time.
- Maintains mailing lists and member verification lists as necessary.
- Purchases and manages office supplies, monitors stationery inventory, and coordinates copy machine maintenance and vendor relationships.
- Reviews and routes incoming mail and ensures timely responses to inquiries.
- Assists accounts payable by matching invoices and preparing checks for mailing.
- Tracks and monitors insurance producers’ licenses and continuing education to ensure compliance with state requirements.
Secondary Job Functions
- Coordinates company social and community responsibilities, including sponsored events.
- Organizes employee recognition activities, including flowers, cards, and service awards.
- Answers phones and provides general office coverage as needed.
- Assists with annual conventions, travel arrangements, and off-site event logistics.
Qualifications and Skills
Education and Experience
- High school diploma or equivalent required.
- Extensive clerical and administrative experience supporting executives and boards preferred.
Skills and Abilities
- Exceptional organizational and multitasking skills with strong attention to detail.
- Excellent verbal and written communication skills; strong grammar and composition.
- Competence with office technology, including Microsoft Office and online meeting platforms.
- Proven ability to maintain confidentiality and handle sensitive information.
- Ability to manage multiple projects, prioritize competing deadlines, and collaborate effectively across departments.
Physical and Other Requirements
- Frequent keyboarding, sitting, phone work, and computer use.
- Occasional lifting up to 30 lbs. with cart assistance.
- Occasional travel throughout Michigan for meetings, conventions, or events.
- Must be able to hear and speak clearly in English for extended periods.
- This position is hourly and may require overtime during special projects and events.
- Additional duties may be assigned as necessary to support IFG and its subsidiaries.
- The IFG Executive Assistant must adhere to privacy rules protecting all PHI and PII in compliance with HIPAA and related regulations.

Chief Experience Officer (CXO)
Position Description
The Chief Experience Officer (CXO) is a senior leader dedicated to enhancing the overall experience of members and stakeholders of the Michigan Dental Association. The role is responsible for aligning the Continuing Education (CE), Membership, and Marketing & Communications functions to deliver exceptional value to members, with clear accountability for measurable outcomes in membership growth, increased participation in MDA’s programs, and team performance. Working in close partnership with directors, the CXO strengthens programs, elevates engagement, and ensures that the association’s educational offerings, member services, and communications strategies are fully integrated and sustainable.
The CXO serves as a strategic partner and connector, bringing a big-picture perspective that advances the mission while also contributing directly to the association’s financial health. By working with directors to grow CE participation, strengthen membership engagement, and expand partnerships, the CXO plays a pivotal role in generating revenue and securing the association’s long-term viability. Just as importantly, the CXO champions a positive staff experience — supporting professional growth, fostering collaboration, and contributing to retention by ensuring staff feel valued and empowered. The CXO is expected to be self-driven, results-oriented, and accountable for leading staff teams to consistently higher levels of performance.

Key Responsibilities
Revenue Growth & Sustainability
- Work with directors to identify and expand revenue-generating opportunities, including:
- Continuing education programs (in-person, online, hybrid).
- Sponsorships, partnerships, and vendor engagement.
- Advertising, publications, and digital products.
- Innovative offerings such as webinars, certificate programs, or leadership institutes.
- Provide strategic insight into program budgets to ensure initiatives are financially sustainable and aligned with organizational priorities. Take direct responsibility for outcomes by monitoring progress, reporting on performance, and adjusting strategies to meet or exceed growth targets.
- Serve as an ambassador for the association with members, partners, and stakeholders to build relationships that support growth and visibility.
Collaboration & Leadership
- Partner with CE, Membership, and Marketing/Communications directors to align department strategies with the association’s mission and business goals.
- Lead a culture of ownership, where staff are empowered and expected to deliver measurable results.
- Provide cross-departmental leadership that enhances the overall member journey—from first contact to lifelong engagement.
- Support and hold directors accountable for implementing innovative practices while respecting and amplifying their leadership authority.
- Foster a culture of creativity, inclusivity, and continuous improvement across all member- and staff-facing functions.
- Model accountability and set clear expectations, ensuring that staff teams are consistently achieving and exceeding goals.

Continuing Education (CE)
- Collaborate with the CE director to grow programs that drive participation, impact, and revenue.
- Identify emerging educational trends and delivery formats (in-person, hybrid, online).
- Ensure programs meet accreditation standards and member needs.
Membership
- Partner with the Membership director to strengthen recruitment, retention, and engagement strategies.
- Support initiatives that increase member value and deepen relationships with dentists and stakeholders.
- Analyze membership trends and feedback to inform growth strategies.
Marketing & Communications
- Collaborate with the Marketing/Communications director to unify messaging across CE, membership, and advocacy initiatives.
- Champion brand consistency and ensure communications resonate with diverse member audiences.
- Support innovative approaches to digital engagement, social media, and outreach campaigns.
Qualifications
- Bachelor’s degree or equivalent work experience required; advanced degree in business, marketing, education, or related field preferred.
- 7+ years of leadership experience in association management, continuing education, membership, or marketing/communications.
- Demonstrated success in revenue-generating initiatives (e.g., CE program expansion, membership growth, sponsorship, advertising, partnerships).
- Strong understanding of member engagement strategies and adult learning principles.
- Demonstrated ability to lead high-performing staff teams with accountability for results.
- Excellent communication, relationship-building, and collaborative leadership skills.
- Human resources experience—particularly in staff development and retention — a plus.
